Privacy policy
How I handle information about you and your child. Written in plain English, because the people reading it are parents and school leaders, not lawyers.
Who is responsible
I am Rukmani Vishwanathan, an independent Child Learning & Development Specialist based in Chennai, India. I work alone, without staff, so what is described here is done by me. For anything about your information, write to hello@rukmanivishwanathan.com.
What I collect, and when
I collect what I need to decide whether I can help, and then to do the work.
- When you get in touch: your name, how to reach you (email, WhatsApp number or both), and what you choose to tell me. For a parent that is usually your child's age, their school and what you are seeing at home. For a school or organisation it is the size and stage of the school and what isn't working.
- When you book a call: the booking page asks for your name, email and the time you'd like. It creates a video-call link and adds the call to my calendar.
- If we go on to work together: a short intake form covering the same ground in a little more detail, and anything you choose to share, such as a report from another professional. During the work I keep notes between sessions, and I write a learning profile and plan for your child, or a proposal and deliverables for your school.
- When you visit this site: the site sets no cookies and has no forms of its own. Visits are counted with Cloudflare Web Analytics, which works without cookies and without collecting personal identifiers.
Children's information
The children I work with are aged 3 to 12. I collect information about a child only from that child's parent or legal guardian, not from the child, and only with the parent's or guardian's agreement. If we work together, that agreement is recorded in the intake form, which asks you to confirm that you are the child's parent or guardian and that you consent to my holding this information for the work.
I don't run a platform, an app or an account that a child logs into, and I don't track children in any way. Sessions with a child happen with a parent or guardian in the room or nearby.
Why I use it
- To decide whether I'm the right person to help, and to tell you if I'm not.
- To build a learning profile and a plan for your child, or a proposal and deliverables for your school.
- To keep notes between sessions so that the work is consistent.
- To reply to you, schedule calls and sessions, and send invoices.
I don't use your information for advertising, I don't build profiles of you, and I don't send newsletters unless you have separately asked for one.
Where it is kept
I use a small number of everyday tools:
- Email and files: a Google account (Gmail, Google Drive, Google Docs and Sheets). Email sent to hello@rukmanivishwanathan.com is delivered to that account.
- Booking: Cal.com, which holds the booking details and connects to my Google Calendar to create a Google Meet link.
- Intake form: Tally, a form tool based in Belgium and hosted in the European Union. If you share a report from another professional, I move it to my own files and remove it from the form tool.
- Messages: WhatsApp, if you choose to write to me there. WhatsApp's own terms apply to the app on your phone.
- This website: hosted on Cloudflare.
Each of these companies processes information on my behalf under its own privacy terms, and some of them store data outside India. I chose them because they are widely used, encrypt data in transit and at rest, and let me delete what I hold.
Who sees it
Me. I don't sell, rent, share or publish information about you or your child.
There are two exceptions, and both need your agreement first. If you ask me to speak to your child's school, I share only what you have agreed I can share. If I think a clinician should be involved, I tell you and point you to the right kind of professional. I don't send anything to a clinician unless you ask me to.
The only other circumstances in which I would disclose information are if the law required it, or if I believed a child was in immediate danger.
How long I keep it
- Enquiries and intake answers: intake answers are deleted 12 months after our last contact, or sooner on request. The same applies to enquiries that don't go further.
- Records of work we did together: notes, plans and materials are kept for the same 12 months after our last contact, so that I can pick up where we left off if you come back. Invoices and proposals are kept for as long as Indian tax law requires.
At any point before that you can ask me to delete what I hold.
Your rights
You can ask me, at any time and without giving a reason, to:
- tell you what information I hold about you or your child;
- correct anything that is wrong or out of date;
- delete what I hold, and confirm that I have;
- withdraw your consent to my holding a child's information, which ends the work but doesn't affect anything already done.
Write to hello@rukmanivishwanathan.com and I'll reply as soon as I reasonably can. If you are unhappy with how I've handled a request, you can also raise it with the Data Protection Board of India.
Keeping it safe
I take reasonable steps to protect what you tell me: the accounts I use are password-protected and use two-step sign-in where the tool offers it, I don't keep information about children on paper, and I don't keep clinical reports inside the form tool. No method of storing information is completely free of risk. If something went wrong with your information, I would tell you.
Testimonials and photographs
Nothing about your child appears anywhere public without your written permission, and no child is identifiable in any photograph on this site. If you write a testimonial, you choose how you are named.
Changes
If I change this policy, the date at the top changes with it. A change to how I handle children's information is told to current families directly, not just posted here.

This website was designed and built with help from AI tools. The text is based on my own words and experience.
In my work I use AI tools, such as Google Gemini and ChatGPT, for research and content generation.
